Senior Ticket Office Coordinator

THE POSITION: Under direction, performs a variety of box office operations, including programming of computerized ticketing system, updating theater patron mailing lists, answering patron inquiries, and accurately processing phone, window and mail orders for subscription and single ticket sales. Provides lead supervision to Box Office Aides and Tellers during office hours and at CCPA performance events. Performs related duties as required.

Job Characteristics: Works a varying schedule of hours which may include early mornings, nights, weekends and holidays.

ESSENTIAL DUTIES:

  • Balance daily sales transactions and prepare deposits.
  • Prepare various reports and lists from computer ticketing system data.
  • Set up event season on ticketing system and website.
  • Resolve difficult customer relations issues.
  • Maintain computer ticketing system and website.
  • Sell subscription and single tickets through a computerized ticketing system.
  • Supervise, schedule, train, and evaluate Box Office Aides and Tellers.
  • Liaison between rental clients and tour manager for all ticket-related inquiries.
  • Monitor annual expense budget for the ticket office.

EMPLOYMENT STANDARDS:

Knowledge of:

  • Computerized ticketing system.
  • Basic bookkeeping functions.
  • Computer software applications that pertain to word processing, spreadsheet, and data base operations.
  • Cash, credit card or other revenue transactions.
  • Customer service techniques and telephone etiquette.
  • Employee training, scheduling and supervision.

Ability to:

  • Perform ticket sales transactions accurately.
  • Balance daily sales transactions.
  • Perform bookkeeping functions.
  • Produce customized reports through the computerized ticketing system.
  • Work effectively with the public, co-workers and supervisors.
  • Train personnel, including the use of the computerized ticketing system.
  • Exercise good judgment, courtesy, and tact.

PHYSICAL DEMANDS AND WORK ENVIRONMENT: Work is performed in a box office environment and requires sitting for prolonged periods of time using a computer keyboard and screen. An incumbent stands, walks, and may twist, reach, bend, crouch and kneel. A Senior Ticket Office Coordinator may also grasp, push, pull, drag and lift boxes of files and other office items weighing up to 30 pounds. Additionally, the position requires near and far vision in reading correspondence and using the computer, and acute hearing is required when providing phone and face-to-face service. Employee is regularly required to use written and oral communication skills; read and interpret data; analyze and solve problems; use math and mathematical reasoning; and perform highly detailed work. An incumbent must be able to meet the physical requirements of the class and have mobility, vision, hearing and dexterity levels appropriate to the duties to be performed.

TRAINING AND EXPERIENCE: A typical way to obtain the required knowledge and abilities would be: Graduation from high school and two years' experience in a performing arts center, involving work with major ticket agencies and professional promoters, and two years of supervisory experience is required. A valid California driver's license is required.
